Time & Payment For Additional Services

  • 30 min will be added to the shoot time for each service. Example: If you were to shoot candids, video, and standard bid day group photos at 1 chapter the shoot would be 1.5 hours.
    • An additional $50 will be paid for each service. Example: If you were to shoot candids, video, and standard bid day group photos at 1 chapter the shoot would be pay $250.  $150 min for the normal bid day service plus $50 for candids and $50  for video
      • All services will be listed in your GYB Focus.  

      Bid Day Video Footage

      Pre-Shoot Preparation

      Bid Day video footage should capture dynamic, emotion-filled clips that showcase the excitement and energy of the day.

      • Ensure all equipment is in working order and fully charged/with back ups (video can drain battery and use memory cards faster than stills)
      • If you have one bring a gimbal, monopod, harness, or any physical stabilizer
      • Set your camera to the highest video resolution (4K or 1080HD) and enable in-camera stabilization if available.

      Action Shots

      1. Running: Capture girls running (follow shots if possible). 2. Wide Shots: Wide-angle shots of the entire crowd.
      3. Hugging: Emotional moments of hugging.
      4. Chanting: Girls chanting sorority cheers.
      5. Throwing Signs: Hand signs and symbols.
      6. Jumping: Excited jumping shots.
      7. Waving: Waving to the camera or each other.
      8. Selfies: Girls taking selfies together.
      9. Candids: Natural moments of talking and laughing.
      10. Shouting: Girls shouting “Welcome” or the sorority name.
      11. Small Groups: At least 5 shots of 2-3 girls together.
      12. Outfits: Hero shots showcasing their outfits (group or individual).
      13. Dancing/Goofing Off: Fun, spontaneous dancing or goofing off.
      14. Props: Interactions with props (hula hoops, bubble guns, beach balls, glitter cannons). 15. Letters/Signs: Posing with sorority letters and signs.
      16. Line Up: Moving down the line while they cheer.
      17. Crowd: Capture as many people as possible to show the scale of the event.
      18. Emotion: Focus on capturing emotional reactions and expressions.

      B-Roll Shots

      1. House: Shots of the sorority house.
      2. Campus Monument: Any notable campus landmarks or points of interest. 3. Decorations: Event decorations and setups.
      4. Big/Little Signs: Signs indicating “Big” and “Little” pairings.
      5. Props: Various props used during the event.

      Video Shooting Guidelines

      • Clip Length: Aim for 10-20 second clips for each action. Think of it like shooting candids but with short video clips.
      • Total Footage: Aim for at least 5+ total minutes of good footage within a 30-minute shooting window. Try for as many quality clips as possible in your time frame.
      • Stabilization: Use a gimbal or physical stabilizer. If not available, use in-camera stabilization and try to keep shots as smooth and steady as possible.

      Camera Settings

      • Resolution: Shoot at the highest resolution available (4K or 1080HD).
      • Shooting Mode: Full auto is acceptable for these clips and generally the best option.
      • Use manual settings based on shoot conditions and your skill level.

      Post-Shoot

      • Review the footage to ensure all key moments and required shots are captured.
      • Backup all footage immediately after the shoot.
      • Submit the footage normally through the uploader.

      Candids

      Candids include 30 minutes of event photography of the Bid Day celebration.

      Take as many photos as you can! We’ll cull and edit the best images to give to the chapter! Aim to take 75-150 RAW images.

      Camera Settings:

      • Shoot in RAW
      • Shoot at as high as a shutter speed as you can to reduce motion blur. 1/160th +
      • Shoot using a speed-light to use as fill or to light them up if light is limited.

      Do: Get creative and take shots they may not think to get themselves. Have fun with it and be engaging.

      Don’t: Stand in a corner and take photos from the same spot the entire time.

      Don’t: Just be a fly on the wall! Get involved with the action!

      Don’t overthink it! You don’t need to take the perfect photo, you’ll get into the technicalities during the group shots.

      Spot My Photos

      What is SMP?

      SMP is an app-based instant photo delivery system. Once a client signs up any photo that is taken of them will be instantly delivered to them via text or email whichever they choose. It creates a personalized gallery that takes them to all the images they have been spotted in. Each time an additional photo is taken they will get another text with the link to the gallery and from there they can download the images. This is only to be used for candid images and for clients who pre-ordered this service.

      Preparation Before Bid Day:

      1. Equipment Preparation: Inform GYB of your camera and cell phone models to receive the appropriate connection cord.

      2. App Installation: Download the Spot My Photos app from your phone’s app store. GreekYearbook will send you an invite via email.

      Connecting Your Camera:

      1. Open the App:

      • Open the Spot My Photos app on your phone.
      • Tap the icon in the top left corner to open the connection window.

      2. Wi-Fi and Connection:

      • Turn off Wi-Fi on your phone.
      • Connect the cord between your camera and phone.
      • Wait a few seconds until the pop-up window indicates that the camera is connected.
      • Turn the Wi-Fi back on.

      Note: Each time you disconnect and reconnect the camera, you will need to turn off the Wi-Fi, reconnect the wire, and then turn the Wi-Fi back on. A link for troubleshooting information is available through the app.

      On-Site Setup:

      1. Arrival at Chapter: Ask the contact person at bid day for Wi-Fi network name and password.

      2. Attendee SMP Registration:

      • Set up/hand out the provided QR code prior to and during the bid day shoot to all chapter members.
      • Alternatively, you can manually “spot” attendees in photos during the event.
      • Note: We send a pre-bid day email to attendees to encourage members to pre-register.

      3. Camera Settings:

      • Set your camera to save images in both RAW and small JPEG formats.
      • The small JPEG images will be the ones sent to attendees’ phones.

      During the Event:

      Start Shooting:

      • As you take photos, the images will automatically appear in the app on your phone.
      • Identified attendees in the photos will automatically receive their images on their phones.
